Rental Process

1. Reservation and Availability

   • Equipment can be reserved on a first-come, first-served basis. To ensure availability, we recommend booking at least one week in advance.

   • Reservations can be made by contacting our office via phone or email. Please provide details of the equipment needed and the intended rental period.

2. Rental Agreement

   • A rental agreement must be signed prior to equipment pickup. This agreement outlines the terms and conditions of the rental, including liability and maintenance responsibilities.

   • The renter must be at least 18 years of age and provide a valid photo ID and proof of address.

3. Payment

   • A deposit is required at the time of booking to secure your reservation. The remaining balance is due upon equipment pickup.

   • We accept cash, credit cards, and electronic payments. All rental fees are subject to applicable taxes.

Equipment Use and Care

1. Proper Handling

   • Renters are responsible for using the equipment in a manner consistent with its intended purpose. Please follow all operating instructions and safety precautions.

   • Equipment should be protected from adverse weather conditions and handled with care to prevent damage.

2. Maintenance and Repairs

   • Renters must report any equipment malfunctions or damages immediately. Do not attempt to repair the equipment yourself.

   • The renter is liable for any damage caused by misuse or negligence and will be charged for repairs or replacement costs.

Return Policy

1. Return Time

   • All equipment must be returned by the agreed-upon date and time. Late returns may incur additional fees.

   • If you require an extension, please contact us as soon as possible to discuss availability and additional charges.

2. Condition upon Return

   • Equipment should be returned in the same condition as it was rented, with all accessories and components included.

   • A thorough inspection will be conducted upon return to assess for any damages or missing items.

Liability and Insurance

1. Liability

   • Hudson Bay Media is not liable for any injuries, losses, or damages resulting from the use of rented equipment.

   • Renters are encouraged to obtain insurance coverage for the equipment during the rental period.

2. Insurance

   • Renters may be required to show proof of insurance, depending on the value and type of equipment rented.
